How to import a PDF bank statement into QuickBooks Online
QuickBooks Online's bank upload reads CSV, QFX, QBO and OFX files, not PDFs. Convert the PDF first: the tool below turns a PDF statement into QuickBooks' own 3-column CSV (Date, Description, Amount), checks that opening balance + transactions = closing balance, and never uploads the statement.

QuickBooks' CSV rules, and what the export does about each
| Intuit's rule | QuickBooks CSV from Ledgermoor |
|---|---|
| 3 columns: Date, Description, Amount (payments negative), or 4: Date, Description, Credit, Debit | 3 columns, header Date,Description,Amount, money out negative |
| One date format; dd/mm/yyyy recommended; no weekday names | Every date as dd/mm/yyyy, read from the statement whatever its own format |
| Remove zeros, leave the cells blank | Zero-amount rows (waived fees, notes) are left out |
| No descriptions made only of numbers | Number-only descriptions get a "Ref " prefix |
| Mac users: save as Windows CSV | Windows line endings (CRLF) on every platform |

A real export
This is the QuickBooks CSV the tool made from its own sample statement (a made-up statement; press try a sample statement above to get the same file). 12 transactions, and the balance check passed: opening 1,523.18 + transactions 2,445.61 = closing 3,968.79.

Step by step
- Drop the PDF statement into the box above (or choose it). Scanned statements work too; they take longer because the text is read with OCR.
- Look at the balance check. "Passed" means opening balance + every transaction = closing balance, so no row was missed. If it says "needs a look", the highlighted rows show where; try the date order or decimals option.
- Press QuickBooks CSV. The file is named
…-transactions.quickbooks.csv. - In QuickBooks Online, open Bank transactions, choose to upload transactions from a file, pick the CSV and the bank account it belongs to.
- On the mapping step, choose the 3-column layout, map Date, Description and Amount, and pick the date format dd/MM/yyyy. Review the transactions and accept them.
CSV or OFX?
QuickBooks Online also accepts OFX, which carries no date-format question at all, and Quicken and QuickBooks Desktop read OFX too. Use the OFX button if your QuickBooks set-up prefers it. The CSV is easier to check or edit in Excel before you import.
Before you import: duplicates
If the account already has a bank feed, the same transactions may already be in QuickBooks. Import only the dates the feed doesn't cover (QuickBooks feeds often start 90 days back; Intuit's article mentions uploading older transactions by hand), or review carefully for duplicates on the review screen.

Questions
Can you import a PDF bank statement into QuickBooks?
Not directly: the bank upload in QuickBooks Online takes CSV, QFX, QBO or OFX files. Convert the PDF to QuickBooks' 3-column CSV (Date, Description, Amount) first, then upload that file.
What CSV format does QuickBooks Online need for bank transactions?
Intuit's help page describes two layouts: 3 columns (Date, Description, Amount, with payments negative) or 4 columns (Date, Description, Credit, Debit). Use one date format throughout (Intuit recommends dd/mm/yyyy), leave out zero amounts, and avoid descriptions that are only numbers.
Why does QuickBooks reject my CSV?
The usual causes on Intuit's list: zeros in amount cells, number-only descriptions, headers like "Credit amount" instead of "Credit", mixed date formats or weekday names in the date column, and Mac files not saved as Windows CSV. The QuickBooks CSV export here avoids all of these.
Is my bank statement uploaded to convert it?
No. The PDF is read in your browser (pdf.js, and Tesseract OCR for scanned pages); nothing is sent to a server. Only the CSV you upload to QuickBooks yourself leaves your device.
How many pages can I convert for free?
5 pages a day on this device, one statement at a time. Ledgermoor Pro removes the limit: $5 for 7 days, $15 a month or $150 a year.
